Student Absences

Whangaparaoa College has a responsibility to account every day for all students who are enrolled. In a large school this is a huge task and we would ask for students and parents to support us in achieving this.

Please help by ensuring:
  • That when your child is away a note, email message or phone message is sent to the school office, preferably in advance of attendance checks
  •  If your child is going to be away for more than two days please advise the school of the reason by phone or email as soon as possible.
The email address for absences is absence@wgpcollege.school.nz. For authenticity purposes some absence explanations may be followed by the school to obtain verification.

Roles and Responsibilities


Learners

  • Must notify the College office if they know in advance that they are going to be absent from College
  • If you are sick or ill a parent must notify the College office before 10am on the day you are away
  • When you come back to College you must bring a note if you have not already brought a note or had a parent call the office

Parents / Caregivers

If you wish your child to be away from College for family reasons, sports leave etc. you should notify the College office before the absence.
  •  If your child is absent from school at short notice, e.g. sick, then you must phone the College before 10am
  • If your child has been away and you have not contacted the College send a note to the Office when they return.

Notes (Phone, Fax, E-mail or paper) must have:

  • Name of Learner and Tutor Groups
  • Time/date of absence
  • Explanation
  • Signature of parent or guardian

Teachers / Lead Learners

  • Record absences or lates period by period

 

Tutors

  • Explain attendance requirements to learners
  • Record attendance at tutor groups
Direct ALL notes to the College office

College Attendance Office

  • Records approved future absences submitted by teachers 
  • Records ALL absence explanations
  • Files notes
  • Enters attendance data for teachers who can not access the computer system
  • Phones parent after 10:30am for all learners absent that day whose parents have not already contacted the school to explain
  • Sends out letters to all students with unexplained absences more than TWO days old

Deans

  • Follow up any unexplained absences more than FOUR days old by phone
  • Monitor attendance of learners in their House using KAMAR
  • Update attendance records if required, e.g. Truancy
  • Follow up any attendance concerns for their Year Level.
